Role Summary

The Player Development Coordinator is the operational backbone of the Beyond the Game summer cohort. This role exists to ensure that the program students experience is thoughtfully designed, logistically sound, and running on time — every week, from the first planning meeting in June to the final showcase in August. This is not a role where you wait for direction. It requires initiative, organizational follow-through, and a genuine investment in making the program excellent for the 15 to 20 student-athletes who are counting on it.

Core Responsibilities

1Curriculum and Session Framework Development

  • Develop and finalize the weekly session frameworks for all six program weeks — both Wednesday virtual sessions and Saturday in-person sessions
  • Create session guides and run-of-show documents for each Saturday
  • Design student-facing materials for each week — reflection prompts, career exploration worksheets, presentation preparation frameworks
  • Review and refine communication templates used throughout the program

2Student Invitation and Cohort Coordination

  • Support the referral-based student invitation process — reviewing candidates, tracking invitation status, and maintaining the cohort tracking system
  • Help prepare personalized student invitation materials
  • Maintain the master participant list and keep it current and accurate
  • Coordinate student onboarding materials and welcome communications before July 8

3Weekly Session Operations

  • Manage logistics and flow of each Wednesday virtual session — platform setup, student access, facilitator readiness, and attendance tracking
  • Coordinate each Saturday in-person session from arrival through close
  • Serve as the day-of point of contact for questions, changes, or issues
  • Coordinate guest arrivals and logistics for Week 3 and any session with outside participants

4Final Showcase Coordination

  • Lead operational planning for the graduation showcase — venue coordination, presentation order, reel playback setup, and family and guest communication
  • Confirm every student has a completed, finalized athlete reel and a prepared presentation before showcase day
  • Coordinate with the media team to ensure each student receives their photos and video files
  • Manage day-of logistics so the showcase runs smoothly for students, families, coaches, and guests

Qualifications

Required

  • Highly organized with strong follow-through — you don't wait to be reminded
  • Clear, early communicator with coaches, students, and program leadership
  • Genuine care for whether students in this program have an excellent experience

Preferred

  • Youth program coordination, camp administration, or activity leadership
  • Athletic organization or team operations support
  • Education program coordination, tutoring program management, or school support roles
  • Event coordination, community program operations, or volunteer management
